Flange Kit RFQ Checklist for Maintenance Shutdowns
A practical sourcing guide for maintenance buyers and PVF teams quoting flange kits, gaskets, studs, nuts, coatings, documentation, and delivery windows before a planned outage.
A shutdown flange kit looks simple on a spreadsheet until one field is missing. The gasket style is unclear, the studs are the wrong finish, the nuts do not match the coating, or the quote arrives without the paperwork receiving needs to release the job.
This RFQ checklist is built for maintenance planners, PVF manufacturers, and industrial job shops that need complete kits before an outage window starts. The goal is to quote the full bolted joint package clearly enough that purchasing, maintenance, quality, and receiving all see the same requirement.
Define the flange before the kit
Start every line with the flange details that drive fit: nominal pipe size, pressure class, face type, bore or schedule when relevant, material, and service environment. A gasket for a 150 class raised-face flange is not the same buying decision as a full-face gasket for a flat-face flange, even when the nominal pipe size matches.
If the request comes from a walkdown or maintenance list, include photos, tags, prior purchase orders, or drawings when available. Westgate can quote from incomplete information, but the fastest clean quote comes from connecting the gasket, studs, nuts, and washers to a clearly identified joint.
Quote the gasket as a service item, not a commodity
Gasket material should follow the service conditions, not just the last item bought. Include media, operating temperature, pressure range, flange face, thickness, inside and outside diameter requirements, and any customer preference for spiral wound, ring, full-face, rubber, compressed fiber, PTFE, graphite, or specialty sealing products.
When the gasket is part of a customer-facing build, name the documentation requirement in the RFQ. A quote can then distinguish stocked commercial gasket material from items that need certificates, lot traceability, domestic sourcing, or a specific manufacturer approval.
Match studs, nuts, washers, and coatings
A flange kit is only useful when the bolting package works together. List stud diameter, thread pitch, length, grade, nut style, washer type, and whether the application requires plain, zinc plated, hot dipped galvanized, stainless, alloy, coated, or domestic fasteners.
Coatings matter because they affect fit, corrosion resistance, and procurement lead time. Hot dipped galvanized studs often require compatible nuts, and substitution should be controlled when the job is outdoors, wet, corrosive, customer-specified, or tied to a standard maintenance practice.
Separate emergency, outage, and replenishment lines
Maintenance teams often send one list that contains three different buying motions: emergency repair parts, planned shutdown kits, and bin replenishment. Treating every line as the same priority can slow down the items that actually protect the outage schedule.
Mark each item with the needed date, ship-to location, acceptable partial shipment, and whether alternates can be reviewed. That lets the sourcing team split the quote intelligently, expedite critical kits, and avoid holding stocked hardware behind a gasket or specialty coating with a longer lead time.
Make documentation part of the first quote
Receiving delays are expensive during an outage. If the plant needs MTRs, COCs, domestic origin notes, heat traceability, country-of-origin details, or customer-specific paperwork, put those requirements in the RFQ before award.
The same rule applies to alternates. If a substitute gasket material, different coating, imported component, or alternate manufacturer needs approval, the quote should call that out visibly so maintenance and purchasing can make the decision before the kit ships.

- Nut style, washer requirements, and coating compatibility
- Domestic sourcing, approved manufacturer, or no-substitution rules
- MTR, COC, heat trace, country-of-origin, or receiving paperwork
- Emergency, outage, or replenishment priority by line
- Needed delivery date, ship-to ZIP code, and partial shipment rules
